Job Description: We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our founder. The ideal candidate will be a masterful problem-solver and an organizational force. This role requires exceptional communication skills, a high level of discretion, and the ability to multitask in a fast-paced, dynamic environment. This position offers a unique opportunity to work closely with top-tier talent and gain invaluable experience in the celebrity branding industry.

There will be personal assistant duties and tasks required as well. 

Schedule and availability would be best for someone who is flexible and available (i.e. nights and weekends as needed).

Key Responsibilities:

• Provide high-level administrative support to our founder, including managing calendars, scheduling meetings, and coordinating travel arrangements.
• Maintain call log and take detailed messages/notes.
• Prepare and edit correspondence, communications, presentations, and other documents.
• Conduct research, compile data, and prepare reports for consideration and presentation by executives.
• Handle confidential information with the utmost discretion and professionalism.
• Assist in the preparation of executive-level presentations and materials for meetings.
• Coordinate and manage special projects as assigned, ensuring they are completed on time and within scope.
• Plan and coordinate company events, meetings, and off-site activities.
• Assist with personal tasks and errands as needed to ensure the founder’s schedule is run smoothly.
• Managing and assisting in hiring interns.
• Onboard and updating client marketing materials.
• Maintain and update company databases.

Qualifications:

• Bachelor’s degree or equivalent experience.
• Experience and/or interest in celebrity & influencer branding a plus.
• Must have strong interpersonal skills to handle varied personalities and sensitive situations.
• Exceptional organizational skills and attention to detail.
• Must have a car and valid driver’s license.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Suites, and other relevant software.
• Ability to manage multiple priorities and adapt quickly to changing demands.
• High level of professionalism and discretion in handling sensitive and confidential information.
• Strong problem-solving skills and the ability to work independently.
• Positive attitude, proactive approach, and a strong sense of urgency.
• Ability to work well under pressure and manage tight deadlines.

Compensation: Salary and bonus commensurate with experience and contributions to the agency. Health benefits, paid unlimited vacation and sick days plus we’re closed for two weeks during the Christmas/New Year’s holidays which is paid, work from home Fridays, 401K and company profit-sharing plan provided.
